    Job Overview:

    • We are looking for a detail-oriented and organized Purchasing Assistant to support the purchasing department in the procurement and receiving of products. The ideal candidate will assist with sourcing suppliers, managing purchase orders, maintaining accurate records, and ensuring timely delivery of products. You will play a key role in helping the company maintain smooth operations by ensuring that necessary materials and supplies are acquired efficiently and cost-effectively.

    Key Responsibilities:

    • Assist the purchasing department with sourcing and selecting suppliers for various goods and services.
    • Create and process purchase orders, ensuring accuracy in product details, pricing, and delivery timelines.
    • Track and monitor the status of purchase orders to ensure on-time delivery.
    • Communicate with vendors and suppliers to confirm order details, availability, and any potential issues.
    • Maintain accurate records of all purchasing transactions and create purchase order logs.
    • Assist in maintaining inventory levels by ensuring timely procurement and stock replenishment.
    • Collaborate with other departments (e.g., sales) to understand purchasing needs and provide necessary support.
    • Help in negotiating prices and terms with suppliers to obtain the best value for the company.
    • Review and verify invoices for accuracy and ensure proper documentation before forwarding for approval and payment.
    • Conduct market research to identify new suppliers or cost-effective alternatives.
    • Ensure compliance with company purchasing policies and procedures.
    • Assist in preparing reports on purchasing activities, cost savings, and vendor performance.

    Qualifications:

    • Previous experience in a purchasing, procurement, or administrative role is an advantage.
    • Basic understanding of supply chain management and procurement processes.
    • Proficiency in Retail Management System and Microsoft Office (Excel, Word, etc.).
    • Strong organizational skills, negotiation skills and attention to detail.
    • Ability to work well with vendors, suppliers, and internal teams.

    Preferred Skills:

    • Familiarity with purchasing software or ERP systems (e.g., ODOO, NEXX, Microsoft dynamics (RMS)).
    • Basic knowledge of inventory management or stock control.
    • Strong analytical skills to evaluate suppliers and cost-saving opportunities.
    • Knowledge of industry standards and regulations related to procurement.
