We are looking for a proactive and customer-oriented Front Desk Intern to manage reception duties and support administrative tasks for our client. The ideal candidate will be responsible for welcoming clients, handling inquiries, scheduling appointments, and ensuring smooth front office operations. This role requires excellent communication skills, organizational abilities, and a professional appearance. The intern should be eager to learn and grow within a fast-paced business environment.
Key Responsibilities
- Greet and welcome clients professionally while ensuring a positive first impression.
- Manage front desk operations, including answering phone calls, responding to emails, and handling inquiries.
- Schedule and confirm appointments while maintaining an organized booking system.
- Provide accurate information about services, pricing, and procedures to clients.
- Maintain a clean, organized, and professional reception area at all times.
- Assist in processing client payments, issuing receipts, and maintaining financial records.
- Handle client complaints professionally and escalate issues to management when necessary.
- Coordinate with estheticians and other staff to ensure efficient client service and appointment flow.
- Maintain and update client records while ensuring confidentiality and data security.
- Assist in social media and digital communication by responding to online inquiries and bookings.
- Support administrative tasks such as filing, data entry, and report preparation.
- Learn and develop front office management skills to support career growth and long-term opportunities.
Qualifications & Requirements
- Diploma in Business Administration, Public Relations, or a related field.
- Previous experience in customer service or front office roles is an added advantage.
- Excellent verbal and written communication skills in English and Swahili.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and appointment scheduling software.
- Professional appearance, positive attitude, and strong customer service orientation.
- Ability to handle stressful situations calmly and efficiently.
- Eagerness to learn and grow in a professional office setting
