We are seeking a reliable, friendly, and organized Office Receptionist to join our dental hospital team. The ideal candidate will be responsible for receiving and assisting patients, managing appointment scheduling, answering calls, and performing general office tasks. The role is critical in ensuring a smooth and welcoming experience for patients while supporting the front office team in various administrative duties.

Key Responsibilities:
Patient Reception & Customer Service:
- Greet patients in a friendly and professional manner as they arrive at the dental hospital.
- Address patient inquiries and ensure they feel comfortable and informed throughout their visit.
- Maintain a positive atmosphere and excellent communication with patients, visitors, and staff.
Appointment Management:
- Schedule patient appointments, ensuring proper allocation of time slots for procedures.
- Confirm appointments in advance and remind patients of upcoming visits.
- Reschedule missed or canceled appointments and manage the waiting list.
Administrative Tasks:
- Collect and verify patient information, including insurance details, medical history, and personal data.
- Prepare patient charts, ensuring all forms are completed accurately before the patient's visit.
- Manage patient records according to HIPAA and hospital confidentiality standards.
Phone & Email Management:
- Answer incoming calls, direct them to appropriate departments, and provide accurate information.
- Respond to patient inquiries via email or phone, including confirming appointments, explaining billing procedures, and answering general questions.
Billing & Payments:
- Collect co-pays, deductibles, and other patient payments.
- Process payments and maintain accurate financial records.
- Assist patients with understanding their insurance coverage and treatment costs.
Patient Support:
- Ensure a seamless check-out process by confirming next appointments and providing necessary instructions.
- Handle patient concerns and complaints with empathy and escalate issues when necessary.
Office Operations Support:
- Maintain cleanliness and organization of the reception area.
- Order office supplies and maintain adequate stock levels for daily operations.
- Assist other team members with ad hoc tasks as required.
Qualifications:
Education & Experience:
- High school diploma or equivalent required.
- Previous experience in a hospital setting preferred..
Skills & Abilities:
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks in a busy environment.
- Excellent organizational skills and attention to detail.
- Basic knowledge of dental terminology and insurance processing is a plus.
- Proficiency in using office equipment and computer programs (Microsoft Office, scheduling systems).
